What to Expect During Implementation

Implementation is the phase in which a hospital team works with SeamlessMD to customize a care plan for patients. The timeline for implementation will differ depending on the scope of the program. Throughout implementation, you can expect the Customer Success Associate (CSA) or Customer Success Manager (CSM) and the Patient Education Specialist (PES) working with your hospital to act as the main point of contacts.


What does a typical timeline look like?

The following table outlines the different steps to implementation. The length of the timeline can change depending on the program(s) being customized.

What can you expect from implementation?

  • A kick-off presentation to be held at the beginning of implementation to offer an overview of SeamlessMD, outline program expectations and goals, and give your team the opportunity to define hospital challenges
  • Weekly meetings to review and customize content provided by your PES
  • A secure SharePoint folder to be shared with your team
  • An implementation tracker
  • A success plan outlining your hospital's quality metrics and goals
  • Workflow discussions
  • A demo presentation to show what the customized content and how patients will navigate the program
  • Demo accounts for each team member to explore the program from the patient perspective and offer their feedback
  • Training session(s) to walk through the enrollment and monitoring workflows
  • Continuous feedback collection
  • Quality assurance testing before the launch of your program

What will we need from your team throughout implementation?

  • Identify the core working group to attend the kick-off, weekly meetings, and demo
  • Attend the kick-off
  • Add team members to the implementation tracker so we know who will be involved throughout implementation and post-launch
  • Share relevant information, documents, and education materials with our patient education specialist to ensure hospital content is included within the program
  • Provide patient/surgical volumes
  • Review the success plan to ensure the defined success metrics meet your hospital's goals
  • Attend the demo
  • Use the demo accounts and provide feedback after the demo presentation
  • Define workflow with the help of your CSA/CSM
  • Identify team members who will be educating, enrolling, and monitoring patients so that they are included in the training session

  • Offer final feedback and approvals before the launch of the program

If your hospital site is working on an integration with the hospital EHR system during implementation, you can expect there to be separate weekly meetings designated for IT team members to meet with our engineering team. These meetings will define the integration timeline and offer an update on the progress of integration.
